In this article, you can find the steps to view and edit your customer information and order preferences on Choco web as a vendor.

Keeping this information up-to-date is one of the best practices to manage relationships with your clients, cut costs and avoid ordering mistakes.

How to view customer information

You can view your customers’ information by accessing the Customers tab in the side menu.

Here’s how it works:

  1. Select Customers from the side menu

    • Here you can view their name, customer number and label

  2. Select View from the customer’s tab to see the order details

    • Here you can view the full information about the customer including their name, address, customer number, catalogues settings, cutoff times and delivery days

Explanation of customer information fields

Customer name

The name of your customer.

Address

The address of your customer’s business.

Customer number

The unique code associated with your customer.

Including this helps reduce ordering mistakes.


It is also an important piece of information for vendors using Choco with an integration to their ERP system.

Catalogue

The list of your products that is visible to your customer.

Cutoff time and type

After Strict cutoff times, customers cannot choose next day delivery.

After Flexible cutoff times, customers can still choose next day delivery with a warning.

Delivery preferences time

The time after which your customers will not be able to place an order with you.

Delivery days

The days that you deliver to customers.

Customers can only request these days when submitting orders.

How to edit the customer number

Keeping this information up-to-date is one of the best practices to avoid ordering mistakes through Choco.

Note: if you have ERP integration to sync your catalogues, we recommend including the Customer number on Choco to ensure correct order transmission.

Here’s how it works:

  1. Select Customers from the side menu

  2. Select View from the customer’s tab you want to edit information about

  3. Select the Customer number option in the Customers information card

  4. Type the new customer number

  5. Select Save

This change will be visible to your customers and they might be able to edit it.

How to edit catalogues settings for a specific customer

Editing the catalogue settings for a specific customer is possible only when you already have a main catalogue and an additional catalogue.

Choco allows you to create a narrower version of your main catalogue containing only the products that you want to display to a specific single or group of customers. This way, you have the option to offer exclusive products or display only the products that are relevant to your customers.

Here’s how it works:

  1. Select Customers from the side menu

  2. Select View from the customer’s tab you want to edit information about

  3. Select the Catalogue option in the Catalogue settings card

  4. Select the catalogue

  5. Select Save

How to edit cutoff times for a specific customer

This information may or may not be synced to your ERP depending on your settings.

Keeping this information up-to-date is one of the best practices to manage customer relationships thanks to Choco.

Here’s how it works:

  1. Select Customers from the side menu

  2. Select View from the customer’s tab you want to edit information about

  3. Scroll down to the Delivery preference type card

  4. Check the box to Enable customer-specific cutoff times

  5. Select Strict or Flexible and the time

    • With flexible cutoff times, customers can still choose next-day delivery with a warning

  6. Select Save

How to edit delivery days for a specific customer

If you are using an ERP integration, this information may or may not be synced to your ERP depending on your settings.

Keeping this information up-to-date is one of the best practices to manage customer relationships thanks to Choco.

Here’s how it works:

  1. Select Customers from the side menu

  2. Select View from the customer’s tab you want to edit information about

  3. Scroll down to the Delivery days override card

  4. Check the box to Enable customer specific delivery days

  5. Select the delivery days

  6. Select Save

How to add labels for your customers

Adding labels is one of the best customer management practices on Choco web. You can create any label and apply more labels per customer.

This information is only visible to you and your team, and not to your customers.

Here’s how it works:

  1. Select Customers from the side menu

  2. Check the boxes to select the customers

  3. Select Bulk edit labels

    • Type in the label and select Create to add a new one or check the box to assign an existing label

    • Uncheck the box to unassign a label

Examples of labels

Here are some recommendations on how to optimize the labelling of your customers:

  • Add labels of team members’ names to oversee ordering from multiple sales reps

  • Add labels of your customers’ type of business to send targeted promotions

  • Add labels of your customers’ delivery zone to send targeted promotions

What to know when using an ERP integration

Using an ERP integration with Choco enables you to sync information about orders and deliveries across platforms and avoid manual information entry.

To ensure optimal order transmission, we recommend:

  • Adding the customer number to Choco and making sure that it matches the one in your ERP system

  • Adding the product ID to products in your catalogue on Choco and making sure that it matches the one in your ERP system

  • Editing customer information or product information directly in their ERP system

  • Editing delivery preferences such as delivery days and cutoff times on Choco. This information may or may not be synced depending on the type of ERP system or your setup preferences in it
