As a vendor, you can use Choco to receive and confirm orders from your customers to notify them that you received their order.
Note: you can receive or confirm orders via other channels email, SMS or Whatsapp, however, these topics aren’t covered in this article. |
How to confirm orders via chat
Depending on your settings, you can confirm orders via SMS, email or WhatsApp. Please reach out to Customer Support if you would like to make changes in the way you receive orders via these platforms.
You can use the chat on Choco web or in the Choco app to inform your customers that they will receive their orders.
With Choco Premium you can quickly confirm orders through a tab directly on the order on Choco web or via the Choco app. This action changes the order status changes into Confirmed for you and your customers. A confirmation message is also sent automatically to notify your customers.
If you do not confirm your order, the status will change once your customer marks it as Delivered through the delivery-check feature in the Choco app.
Here’s how it works:
Select Chats from the side menu
Select the customer and find the order in the chat
Check the order details
You can edit product quantities, add and remove products by following the process below
Select Confirm or message your customers to notify them that you received their orders
How to confirm multiple orders at the same time
You can confirm multiple orders at the same time by clicking on Orders in your side menu.
After sending an order confirmation, the order status changes into Confirmed for you and your customers. A confirmation message is also sent automatically to notify your customers.
If you do not confirm your order, the status will change once your customer marks it as Delivered through the delivery-check feature in the Choco app.
Here’s how it works:
Select Orders from the side menu
Search orders through the search bar (🔍) by typing your customers’ names or products or scrolling through your list
Sort the orders by using the filters
Order date allows you to filter by orders placed by customers today, in the last 7 or 30 days or within a custom range
Order status allows you to filter orders that are unconfirmed or confirmed by you or marked as delivered by your customers
Sort by allows you to filter by latest or oldest order received, alphabetical order, latest or oldest delivery date, number of products ordered (from smaller to largest amount and vice-versa)

Check the order details
Select and unselect orders by checking the boxes under the left column W
You can edit product quantities, add and remove products by following the process below
Select Confirm at the top
You can also confirm orders one by one by selecting Confirm in the order list
How to edit orders
You can edit orders via chat or through the Orders tab. This will allow you to edit quantities, add and delete products. If you want to inform your customers about any other change (e.g. delivery day), you can use the chat to inform them.

Here’s how it works:
Find your order in the chat with your customer or by selecting Orders in the side menu
Open the order details
If you are viewing the order in the chat, select View details from the order card
If you are viewing the order from your full order list select the order row
Edit the order
You can change quantities under the Edit quantity column
You can delete products from the order by selecting the trash option
You can select Add products to include a substitute or a gift
You can restore the initial quantities requested by the customer by selecting the circular arrow
Select Confirm with edits or Update
When you edit the order for the first time you can send edits by clicking on Confirm with edits
You can make further edits and automatically inform your customers by clicking on Update
You can add a comment along with your order update
You can edit an order as many times as you want until your customer performs a delivery check on their app
Every time you edit an order, an automatic message is sent to your customers
How to export orders
You can export a document containing multiple orders from the Orders tab.
You can also export individual orders, either via chat or the Orders tab

Select Orders from the side menu
Select and unselect orders by checking the boxes under the left column
Select Export at the top
Orders will be exported within one single document.

What to know when using an ERP integration
Using an ERP integration with Choco enables you to sync information about orders and deliveries across platforms and avoid manual information entry.
To ensure optimal order transmission, we recommend:
Adding the customer number on Choco and making sure that it matches the one in your ERP system
Adding the product ID to products in your catalogue on Choco and making sure that it matches the one in your ERP system
Editing customer information or product information directly in their ERP system
Editing delivery preferences such as delivery days and cutoff times on Choco. This information may or may not be synced depending on the type of ERP system or your setup preferences in it.
