As a vendor, you can use Choco web to receive and keep track of orders from your customers.

How to view orders and order details
There are two ways to view orders and order details:
How to view orders and order details via chat
Every time a customer places an order, you receive a notification and an order card containing the information about the order is created in your chat with them.
Here’s how it works:
Select Chats from the side menu
Select the customer and find the order card
Your order card contains the order date, order number, requested delivery date, quantity of products and the status of the order
Select View details in the order card
These include delivery date, products and quantities ordered, order number, customer number, customer name and delivery address

How to view orders and order details from your full order list
You can also access the Orders tab from the side menu to view a list with orders from all customers and do bulk actions such as confirming or exporting multiple orders.
Here’s how it works:
Select Orders from the side menu:
Here you can view the customers’ names, the date they placed the order, the delivery date they selected and the order status
Search orders through the search bar (🔍) by typing your customers’ names or products or scrolling through your list
Sort the orders by using the filters
Order date allows you to filter by orders placed by customers today, in the last 7 or 30 days or within a custom range
Order status allows you to filter orders that are unconfirmed or confirmed by you or marked as delivered by your customers
Sort by allows you to filter by latest or oldest order received, alphabetical order, latest or oldest delivery date, number of products ordered (from smaller to largest amount and vice-versa)
You can apply more filters at the same time
Select one order by clicking anywhere in the row to view more details:
These include the delivery date, products and quantities ordered, order number, customer number, customer name, and delivery address
Select Go to chat to open the conversation with your customer to cross-check any conversation following the order
Explanation of order details’ fields
Each order that you receive on Choco comes along with useful pieces of information.
If you are using an ERP integration, make sure you add the customer number to sync order information across platforms.
Ordered | The date your customer has placed the order. |
Requested delivery | The date your customer has selected for the order to be delivered.
Note: you can always notify your customer about any change in date via chat or by leaving a comment when you confirm the order. |
Order number | The unique code associated to one order (e.g. O220929APHYZA).
This information can be found at the top of order in your chat or in the order details. |
Ordered products | The number of product units your customer has ordered.
You can edit the quantity before confirming and shipping your order. |
Order status | The order status visible to you and your customer.
This changes upon your confirmation and delivery-check by your customers. |
Requested by | The person that placed the order and their phone number. |
Customer number | The unique code associated with your customer’s business. |
Delivery address | Where to deliver the order. |
ID | The unique code associated with a product. |
Product name | The name of the product on your catalogue. |
Unit | The quantity and measurement at which each product is sold. |
Quantity ordered | The amount of each product unit your customer has ordered. |
What to know when using an ERP integration
Using an ERP integration with Choco enables you to sync information about orders and deliveries across platforms and avoid manual information entry.
To ensure optimal order transmission, we recommend:
Adding the customer number to Choco and making sure that it matches the one in your ERP system
Adding the product ID to products in your catalogue on Choco and making sure that it matches the one in your ERP system
Editing customer information or product information directly in their ERP system
Editing delivery preferences such as delivery days and cutoff times on Choco. This information may or may not be synced depending on the type of ERP system or your setup preferences in it.
