Managing delivery days, cutoff times, minimum order value and exceptions

Customising your order preferences enables you to receive orders tailored to your business operations. This includes setting minimum order values, delivery days, and cut-off times. Keeping this information up to date ensures smoother order management for both you and your customers.

Through your account settings on your Webtool, you can establish default order preferences that apply to all customers, as well as specific order preferences for individual customers.


How to customise your order preferences for all your customers

Here’s how it works:

1. Open your Choco Webtool on your browser, and navigate to the 'Settings' tab on the left-side menu.

2. Select 'Order preferences', which is the second option inside the 'Settings' page

3. Once inside 'Order preferences' you'll be able to customize the following fields

  • Minimum order cost: this is the minimum amount of money your customer should spend to place an order with you. This information will appear in your customers’ Choco app whenever they are placing orders with you. Please note that your customers can still send an order under the minimum order value.

  • Delivery cost: this is the amount you are charging for each delivery.

  • Default catalogue: this defines whether your product list is visible by default to your customers

  • Delivery Days: days of the week that you deliver orders to your customers.

  • Cutoff time: The time after which your customers will not be able to place an order to you for the following day. For example, a cutoff time at 6pm, means that any orders after 6pm won't be delivered on the following day. Here you have the option to make it strict (your customers won't be able to place the order for the following day) or flexible (placing the order will be possible with a warning that the delivery date might not be met).

Adding Exceptions to Delivery Days

You can override your default delivery dates and cutoff times for specific dates. This can be particulary useful on bank holidays, peak season or specific circumstances your business might encounter.

Once you're in the 'Delivery days & cutoff settings', click on the 'Exceptions' tab next to 'Regular Schedule'. A side menu will pop up, with three main fields to fill out:

  • Exception date: what's the date you want to make an exception for.

  • Exception type: define whether you want the exception to be delivery available or not. This should be the opposite to your default settings for that day of the week.

  • Cutoff: in case the option 'Delivery' is selected, you can setup a cutoff time specifically for that day.

How to add customer specific order preferences

If you need to adjust any of the order preferences for a specific client, this will override your default settings. Here's how you can do it:

  1. Open your Choco Webtool on your browser, and navigate to the 'Customers' tab on the left-side menu.

  2. Look for the customer you would like to update and click on it

  3. Once in the customer details page, you'll find all the order preference fields to modify:

    • Minimum order value

    • Catalogue settings

    • Delivery days (regular & exceptions)

    • Cutoff times

  4. Click on 'Save'

This change will apply only to the customer you selected.

How your customers see your order preferences in the Choco App

That's how your customers using the Choco Buyer App will see your order preferences:

If your customers ask you how to check your order preferences on the Buyer App, that's how you can indicate them:

  1. Select the 'Suppliers' tab in the bottom

  2. Go to your supplier

  3. Select the Settings option (⚙️ icon)

  4. Select your supplier’s name on the top tab

How you ERP Integration affect your order preferences

When using Choco, it's important to note that delivery days and cutoff times, may be affected by the ERP integration in place. Once the integration is in palce, these settings will be overwritten once the integration executes (often multiple times a day). The system will sync data between Choco and the ERP, and changes made in Choco may not take effect until after the integration is completed.
