In this article, you can find the steps to manage access and permissions for your team in Choco.
Choco is built for distributors to easily work together with their teams of sales reps. You can manage your team members’ access to specific customers as well as limit permissions.
Explanation of roles and permissions
Your team members can have different roles and permissions on Choco:
Role | Permissions |
Admin | Full access to features and customers in your account. Can manage accesses of other team members. |
Sales Rep | Access is limited to the customers selected and permissions will be limited to the management of chats and orders selected as well as communicating directly with these customers. |
How to add a team member
You can easily add your team members in Choco from your Webtool. Here's how:
1. Open your Choco Webtool on your browser, and inside the 'Settings' tab, click on “Team & Permissions”, which is the fourth options in the Settings menu.
2. Once you're in the Team & Permissions page you'll find the list of existing team member in your account. If you want to add a new one, click on the blue button 'Add Team Member' on the top right side of the page.
3. A side screen will appear on the right side. You'll have to provide the following information:
Full name
Mobile phone number
Email address (not mandatory)
Language
Role (Admin or Sales Rep)
4. Once you click 'Save' an invite will be sent to them by SMS to download the Choco App. Once they log in to Choco with their phone number they will directly access your account as a Sales Rep, both on the mobile app and webtool.
💡 Once your new team member has accepted the invite, you'll have to select to which chats can access. Find the instructions in the next section.
How to add team members to chats
Once you've added a new team member
Select Settings from the side menu
Select Team & permissions
Select the team member you want to edit the chats for
Scroll down in the window on the right to “Chats” - once there, you can scroll through the list of available chats or search specific ones from which to add/remove them
Select Add to (#) chats to save your update
How to change the role of your team members
You can change the role assigned to each team member at any time. Here’s how it works:
1. Open your Choco Webtool on your browser, and inside the 'Settings' tab, click on “Team & Permissions”, which is the fourth options in the Settings menu.
2. Click on the team member you want to change role. A side menu will pop up with their current settings.
3. Select the new role you want to assign to them.
4. If their new role is Sales Rep, you'll have to select which customers they can have access to.
5. Click on the 'Save' blue button at the bottom of the page.
How to remove a team member
Besides removing team members from certain chats, you can also remove them entirely from the platform. Here’s how:
1. Open your Choco Webtool on your browser, and inside the 'Settings' tab, click on “Team & Permissions”, which is the fourth options in the Settings menu.
2. Click on the team member you want to change role. A side menu will pop up with their current settings.
3. Click on the three dots next to the user name.
4. Click on 'Remove'
How to check the participants to a chat
if you want to see which team members have access to a specific customer, you'll need to do it from the Choco mobile App. Here’s how it works:
Log in to the Choco App from your phone.
Click on the 'Chats' in the menu bar at the bottom of the screen
Enter the chat with the customer you want to check and select the settings icon (⚙️)
You'll be able to see your team members with access to this customer under 'Your team members'
